Guest Policies & Guidelines
We ask that all guests review and respect the following guidelines to ensure a pleasant and memorable stay for everyone.
Reservations & Payments
- A valid credit card is required to secure all reservations.
- A 50% deposit is due at the time of booking, with the remaining balance payable upon check-in.
- Special events and holiday reservations may require full payment in advance.
- The person reserving the property must be over the age of 21 and must be the same person as the credit/debit card holder.
Cancellation & Refund Policy
- Standard Reservations: Cancellations made at least 7 days before check-in will receive a full refund. Cancellations within 7 days of check-in are non-refundable.
- Special Events & Holidays: Cancellations within 14 days of check-in are non-refundable.
- If a state of emergency or evacuation order is issued for our area due to extreme weather, we offer a full refund or rescheduling options.
- If for any reason beyond the control of The Caroline House the premises become unavailable, we reserve the right to cancel reservations and refund in full all payments made by the guest.
Check-In & Check-Out
- Check-in: 3:00 PM – 7:00 PM (late check-in available upon request)
- Check-out: 11:30 AM
- Late check-out requests may be accommodated based on availability and may incur an additional fee.
Occupancy & Guest Conduct
- Each room or suite has a designated maximum occupancy; exceeding this limit is not permitted.
- Only registered guests are allowed on the property unless prior arrangements have been made.
- Guests are expected to be respectful of other guests, staff, and the property at all times.
Children & Pets
- Well-behaved children are welcome at The Caroline House; however, The Cottage is reserved for adults-only for a peaceful retreat.
- For safety and comfort, children must be supervised at all times.
- Pets may be allowed in The Greenhouse or The Cottage. You must notify us ahead of time and include the particulars of your pet.
- An additional cleaning fee is required per approved pet. The fee is $30 per pet.
- Service animals with proper documentation are always welcome!
Quiet Hours & Noise Policy
- Quiet hours are from 10:00 PM to 8:00 AM to ensure a peaceful environment for all guests.
- Excessive noise, parties, or disruptive behavior is not permitted.
Smoking & Alcohol Policy
- The Caroline House is a No Smoking campus. Smoking (including vaping) is prohibited inside or outside the property.
- Any violation of this policy will result in a $300 fee and may lead to immediate eviction without a refund.
- Guests may consume alcohol responsibly on the property, but excessive drinking and disruptive behavior will not be tolerated.
Property Use & Damage
- Guests are responsible for treating the property with care. Any damages must be reported immediately.
- Any significant damage or excessive cleaning requirements may result in an additional fee charged to the guest.
- Furniture and décor may not be moved without prior approval.
- Please do not put any feminine products in the toilet. Plungers are provided if a clog occurs.
Breakfast & Dining
- For guests in the Main House and The Cottage, complimentary hot breakfast will be served on Friday, Saturday and Sunday mornings.
- Guests in the greenhouse may pay an additional daily fee per person for the breakfasts.
- Breakfast will be served between 8:30 AM and 10:30 AM. Please let the Innkeepers know if you need to reserve a different time.
- Special dietary requests should be communicated in advance.
- Outside food and drinks are allowed in guest rooms but must be stored and disposed of properly.
Weather & Emergency Procedures
- In case of severe weather, guests will be notified and provided with safety instructions.
- If a power outage occurs, we have emergency lighting and essential supplies available.
- In the event of an emergency, please follow all evacuation or shelter-in-place guidelines provided by staff.
- The working condition of amenities, such as Wi-Fi, TV’s, appliances, air conditioners, etc., are not guaranteed. We guarantee to make all efforts to correct any deficiencies as quickly as possible.
- We cannot be held responsible for circumstances beyond our control. This includes excessive noise from construction or public/private events, wildfires/smoke, weather related interruptions, road closures, interruption of services and utilities or unexpected appliance breakdown.
Parking, Security and Safety Risks
- Complimentary on-site parking is available for registered guests.
- The Caroline House is monitored by security cameras in common areas for guest safety.
- Guests should always secure their belongings.
- The Caroline House does not assume any responsibility for injuries resulting from your failure to use due caution.
- Children and pets must be supervised at all times.
- Candles are not allowed due to the fire hazard.
- The Caroline House is not responsible for lost or stolen items. Reasonable efforts will be made to contact the guest for return. Any items not claimed for longer than 30 days may be donated or sold.
Special Events & Group Bookings
- Private events, small weddings, and group bookings are welcomed with prior arrangements.
- Additional fees and policies may apply for special events.
